Job Overview:
We are seeking a detail-oriented and proactive Entry-Level Project Administrator to join our growing e-commerce team. In this role, you will support project coordination for various initiatives, including brewery partnerships for online "shop Now" buttons, e-commerce operations such as adding new products on woocommerce, and back-end website development projects. You will also assist with data entry, product price updates in WooCommerce, and managing integration with platforms like DoorDash. Additionally, this position may involve performing executive assistant duties, such as managing schedules and assisting with administrative tasks for the founder. The ideal candidate will have excellent organizational and communication skills, an interest in e-commerce, and the ability to coordinate across teams to ensure smooth project ex*****on.

Key Responsibilities:
Project Coordination: Assist in the coordination and management of multiple projects, including brewery partnerships for "shop now" buttons, e-commerce site enhancements, and back-end website development.
Cross-Department Communication: Facilitate communication between the e-commerce team, brewery/wholesalers, and back-end development team to ensure alignment on project goals, timelines, and deliverables.
Documentation: Maintain and organize detailed project documentation, ensuring all project plans, specifications, and reports are accurately updated and stored.
Scheduling and Logistics: Schedule meetings, project milestones, and deadlines. Track the progress of all projects to ensure timely completion.
Task Tracking: Monitor project tasks and deliverables in collaboration with project managers, identifying bottlenecks and ensuring prompt resolution of any delays.
Website Back-End Support: Assist with project-related website updates and improvements, ensuring that development timelines are met and technical issues are resolved quickly.
Brewery Reach Support: Help facilitate reaching out to breweries and beverages companies to coordinate with our e-commerce platform.
Data Entry: Perform regular data entry tasks into Google Drive for tracking project-related documents, inventory updates, and other essential project data.
Price Updates in WooCommerce: Ensure product prices are updated accurately and promptly in the WooCommerce platform, reflecting the latest pricing for products, promotions, or brewery-related changes.
Price Updates in DoorDash: Assist in updating product pricing on the DoorDash platform, ensuring consistency across all sales channels and proper inventory alignment.
Reporting: Prepare progress reports for senior management, summarizing project status, key milestones, and potential risks or issues.
Quality Control: Ensure that all deliverables, whether related to the e-commerce platform or brewery integrations, meet company standards and are fully tested before going live.
Vendor Management: Support communication with third-party vendors and suppliers as necessary, ensuring they meet project specifications and deadlines.
General Administrative Support: Assist with other administrative tasks, such as preparing meeting agendas, taking minutes, and ensuring the smooth operation of ongoing projects.
Executive Assistant Duties (if applicable):
Executive Support: Provide direct support to the founder, including managing their calendars, scheduling meetings, and handling daily administrative tasks.
Meeting Coordination: Prepare agendas, take meeting minutes, and ensure follow-up on action items.
Travel Arrangements: Assist with booking travel, accommodations, and itinerary management for executives.
Email Management: Monitor and manage incoming emails and communications, ensuring timely responses and appropriate prioritization.
Document Preparation: Prepare and format reports, presentations, and other business documents as needed.
Special Projects: Assist with special projects and research tasks as directed by the executive team.
Qualifications:
Education: High school diploma or equivalent required; Associate’s degree or higher in Business Administration, E-commerce, or related field preferred.
Experience: 1-2 years of administrative, project coordination, or support experience in e-commerce, website management, or related fields. Previous executive assistant experience is a plus.
Skills:
Proficiency in Google Drive (Docs, Sheets, Drive) for data entry and document management.
Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Familiarity with e-commerce platforms, particularly WooCommerce.
Experience with DoorDash or other third-party delivery platforms is a plus.
Basic understanding of website back-end systems
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Ability to work collaboratively with different teams (marketing, technical, and business partners).
Attention to detail with the ability to manage multiple projects at once.
Problem-solving mindset and ability to adapt to shifting priorities.
Prior experience supporting senior-level executives and managing administrative duties.
Working Conditions:
Part-time hybrid position.
Job Type: Part-time
Pay: $18.00 - $19.00 per hour
Expected hours: 15 – 30 per week
